In TimeStatement, you need to create a new vacation period for each year.
The vacation balance from the previous year is carried over to the new year automatically, provided you don't change the suggested values.
You can create a new vacation period either for a single user or for several or all users at once.
Creating a vacation period for a single user
- Go to "Management" > "Users" and select the user.
- Open the "Work plan" tab and then "Target Vacation".
- Click "Create Target Vacation".
- January 1 is suggested as the start date and December 31 as the end date by default. In most cases, you can keep these values.
- The "Calculated Vacation Hours" field (or "Calculated Vacation Days") shows how much vacation was calculated automatically for the new year.
- The "Vacation Balance previous Period" field shows the vacation balance from the previous year. This value is copied to the "Transfer" field automatically.
- The transfer is added to or subtracted from the new vacation entitlement, depending on whether the balance from the previous year is positive or negative.
- Check the details and click "Save".
This creates the new vacation period and carries over the vacation balance from the previous year to the new year automatically.
Creating a vacation period for several or all users
If you want to create the new vacation period for several or all users at once:
- Go to "Overview" > "Closings".
- Click "Create Target Vacation Periods".
- Enter December 31 of the new year as the end date.
- Select the users. You can select individual users, several users or all users.
- Check the values shown:
- "Base Vacation": The vacation time calculated for the new year according to the user's settings under "Target Working Hours Definition".
- "Previous Balance": The vacation taken in excess or left unused in the previous vacation period.
- "Correction": By default, the balance from the previous period is used here as the transfer. You can adjust the value manually if needed.
- Check the details and click "Save".
This creates the new vacation periods for the selected users and carries over the vacation balances from the previous year automatically.
Note: If the vacation balance from the previous year should not be carried over to the new year, delete the value entered automatically in the "Transfer" or "Correction" field when you create the new vacation period. Then save the new vacation period. The vacation balance from the previous year is then not carried over to the new year.
