When you set up an employee's work plan (see "How do I set up an employee's work plan?"), you define the weekly target hours. You specify the start date, the workload and the number of vacation days per year at a workload of 100%.
You can set up or check these settings at any time under "Management" > "Users" > select the user > "Work plan" > "Target Working Hours Definition".
These settings are the basis for the automatic calculation of the annual target vacation (vacation entitlement). The calculated vacation time is shown under "Work plan" > "Target Vacation".
How do I set up an employee's vacation entitlement?
Under "Target Vacation", you can see how much vacation an employee is entitled to for a specific period. This period is usually a full calendar year. Unused vacation or vacation taken in excess can be transferred to the next period.
Proceed as follows: "Management" > "Users" > select the user > "Work plan" > "Target Vacation"
- Select or create the entry for the current year: TimeStatement usually creates an entry for the current year automatically. Click this entry to open it. If there is no entry yet, click "Create Target Vacation" to create a new one. This is only possible if there is no entry for that year yet.
- Check the calculated vacation time: The "Calculated Vacation Hours" field (or "Calculated Vacation Days") shows the automatically calculated vacation entitlement. The calculation is based on the workload and the vacation days per year that you entered under "Target Working Hours Definition". In the settings, you can specify whether the vacation entitlement is shown in hours or days. For more information, see "How is vacation calculated and displayed in hours or days?".
- Click "Save".
How do I correct an employee's vacation entitlement?
Under "Target Vacation", the calculated vacation entitlement is shown for each year. If needed, you can adjust it under "Management" > "Users" > select the user > "Work plan" > "Target Vacation" as follows:
- Select the vacation period: Click the vacation period you want.
- Vacation balance of the previous period: The "Vacation Balance previous Period" field shows how many vacation hours are left over from the previous period or were taken in excess. This value is especially helpful when you create the vacation period for the next year and want to take the remaining vacation into account.
- Set the transfer: In the "Transfer" field, you can specify how many hours are carried over from the previous period or credited additionally. A positive value increases the vacation entitlement. A negative value reduces it; enter a minus sign for this. This lets you, for example, carry over unused vacation hours from the previous year. The transfer remains dynamic and is therefore suitable for ongoing adjustments.
- Notes for traceability: In the "Notes" field, you can describe the adjustments you made so that they can easily be traced later.
- Save the changes: Click "Save" to apply your settings.
