Depending on your settings, you can record absences in the following ways:
- via "Planned Absences"
- via "Worktime"
- via the absence calendar
1. Via "Planned Absences"
- Click "Timesheets" and then "Planned Absences".
- Click "Create Planned Absence". The "Create Planned Absence" page opens.
- In the "Date" field, either select a single day by double-clicking it, or click two different dates to select a period.
- In the "Type" field, select the appropriate absence type, e.g., "Vacation", "Sick" or "Accident".
- If you selected a single day, you can choose between "All day", "Morning (half day)", "Afternoon (half day)" and "By the hour" to define the scope or the start and end time of the absence.
- Under "Public Notes", you can enter a note that is visible to everyone who has access to this user's planned absences.
- Under "Internal Notes", you can enter a note that is visible only to administrators and the supervisors responsible for this user.
- If needed, add a file with "Add attachment".
- "Create timesheet entries automatically" is enabled by default and should normally remain enabled.
- Click "Save".
Note: When you record vacation, you can see how much vacation time is still available and how the new balance changes as a result.
2. Via "Worktime"
- Click "Timesheets" and then "Worktime".
- Drag and drop to create a new entry at the desired time.
- The "Add entry" window opens.
- Check the date as well as the start and end time.
- In the "Type" field, select the appropriate absence type, e.g., "Vacation", "Sick" or "Accident".
- Optionally, you can add a note in the "Note" field.
- Click "Save".
Note: This option is only available if "Prevent manually inserted absences" is not enabled under "Management" > "Settings" > "Features".
Important: Absences recorded via "Worktime" are not subject to the absence approval process. To prevent absences from being recorded this way, enable "Prevent manually inserted absences" under "Management" > "Settings" > "Features" and save the settings.
3. Via the absence calendar
- Click "Timesheets" and then "Planned Absences".
- Click "Vacation Overview" to open the calendar view.
- In the calendar, click the day on which you want to record the absence.
- The "Create Planned Absence" page opens, the same as when recording via "Planned Absences".
- Fill in the details as needed and click "Save".
