Under "Management" > "Settings" > "Features", you can find various settings for work time and absence tracking. In the "Work Time Tracking" area, you can enable and configure the following features.
Approve work time by supervisor
This feature enables the approval process for work time. The recorded working hours must then be reviewed and approved by the responsible supervisors.
For more information, see: "How do I set up the approval process for work time, project time and expenses?"
Default work time approval period
This setting defines the intervals at which employees must submit their working hours to their supervisors for approval, for example weekly, every two weeks or monthly.
Approve absences by supervisor
This feature enables the approval process for absences, so the responsible supervisors can review and approve absences.
For more information, see: "How do I set up an absence approval process?"
Prevent manually inserted absences
We recommend also enabling this feature if employees shouldn't be able to enter absences directly via work time tracking without approval. This ensures that absences are entered only via Planned Absences and go through the intended approval process.
Show vacation in days
This feature defines whether the vacation entitlement in TimeStatement is shown in days instead of hours.
For more information, see: "How is vacation calculated and shown in hours or days?"
Supervisors can edit user records
This setting defines whether supervisors can edit the work time and absence entries and other user data of the employees assigned to them.
After enabling this feature, you can assign a supervisor to each user. To do this, go to "Management" > "Users", open the user profile and enter the responsible supervisor in the "Supervisors" field.
For more information, see: "How do I assign a supervisor to a user?"
Users can edit check-in & check-out records
This feature allows employees to edit their own check-in and check-out entries.
If the feature is disabled, employees can't change these entries themselves. For any necessary corrections, they have to contact their supervisor or administrator.
Timesheet Edit Deadline
This setting defines how long work time entries can be edited after the fact. You can choose a period from 1 to 28 days and specify whether the deadline is calculated from the end of the day or from the end of the month.
Examples:
- 5 days from day end: Work time entries can be edited up to five days after the working day.
- 5 days from month end: Work time entries of the previous month can be edited up to the fifth day of the following month. For example, the entries for September can be changed until October 5.
- No restrictions: Work time entries can be edited after the fact without any time limit.
Once the deadline has passed, the affected work time entries can no longer be changed. The exact edit deadline depends on the selected setting.
Check-in / Check-out
This feature enables or disables the digital time clock. Employees can check in with a button when they start work and check out when they finish. The working hours are then recorded automatically and to the minute via the web app or the mobile app.
For more information, see: "How do I record work time in TimeStatement?"
Enable worktime location tracking for all users
This feature enables location tracking for work time entries, so the location can be captured during work time tracking.
For more information, see: "How do I set up location tracking for working hours?"
Enable home-to-work deduction
This feature lets you store a specific number of commute minutes for each user. When checking in with the additional "Customer appointment" button, these minutes are deducted once from the recorded work time and noted in the corresponding work entry.
After enabling the feature, you can set the commute deduction individually for each user. To do this, go to "Management" > "Users", open the user profile and enter the number of minutes in the "Home-to-work minutes (commute deduction)" field.
Round time to
This feature defines whether and to which time interval the recorded working hours are rounded. You can choose rounding intervals of 5, 10, 15 or 30 minutes.
Always round up time
This feature defines whether recorded times should always be rounded up instead of also being rounded down depending on the rounding rule.
Important: Don't forget to save your changes after adjusting the settings. To do this, click "Save" at the bottom right of the page.
