If you change your company name or add another company, first create the new company. Then select the matching "Sender" and the matching "Template" in the invoice. This way, you create new invoices with the correct details without changing existing invoices.
New company or company change
Don't overwrite the existing company with the new details: invoices only store a reference to the company and read its details each time. Otherwise, invoices you have already created would also show the new details. Keep the previous company and create the new company in addition:
- Go to "Management" > "Companies" and click "New Company".
- Enter the "Name", "Address", "Country" and "Bank details". For companies in Switzerland only: for QR invoices, also enter the "IBAN number for QR-Invoice".
- Click "Save".
- For new invoices, select the new company under "Sender" and the matching invoice template under "Template".
If you use several companies, enable "Own invoice number space" for each company so that the invoice numbers don't overlap. Learn more: How do I add my company?
"Sender" and "Template": the difference
- "Sender" is the company you created under "Management" > "Companies", with its name, address and bank details.
- "Template" is the invoice template, i.e., the layout of the PDF. A template can contain its own text, for example a company name, a logo or an address. That's why the PDF can show a different company name than the "Sender".
You manage your invoice templates under "Management" > "Settings" > "Templates". Learn more: How do I customize the layout of my invoice template?
Template per client
For each client, TimeStatement automatically suggests the template that was last used for that client. To change the template for a client:
- Create a new invoice for the client.
- Under "Template", select the invoice template you want.
- Save the invoice.
The new template is preselected for the next invoices for this client.
Frequently asked questions
The invoice shows the old company even though it no longer exists under "Companies". Why?
The name most likely comes from the invoice template. Check the "Template" field in the invoice and select the template with the new details. After saving, this template is suggested automatically for the client.
I've already overwritten the existing company with the new details. What now?
Under "Management" > "Companies", enter the previous details for this company again and create the new company with "New Company".
