With TimeStatement's built-in online editor, you can design your invoices exactly the way you want. Our flexible, professional invoice templates can easily be adapted to your corporate design – including logo, colors and other individual elements.
Creating a custom layout for the invoice template involves several steps, which is why creating an invoice template in TimeStatement is also available as a service. If you prefer to do it yourself, here are the instructions.
Creating an invoice template
1. Go to the "Management" tab, then "Settings", and click "Templates".
2. Click "New Template" to create a new template for your invoices.
3. Give the template a name and click "Save".
Note: TimeStatement includes standard invoice templates that you can use but not edit.
Editing an invoice template
1. Go to the "Management" tab again, then "Settings" and then "Templates".
2. Select the invoice template you want to edit.
3. Under "Document", click "Edit" to customize the template in TimeStatement's online editor.
4. Adjust the font, font size, alignment, color and other formatting of your invoice.
5. To adjust the layout, you can move and format the variables as you like. The variables are placeholders that are filled with your own data when the invoice is created. Find out in another article which variables you can use in the invoice template.
6. Don't forget to save the layout by clicking "Save".
Adding your own variables to the invoice template
To add your own variables to an invoice template, you first have to define the variable.
1. On the "Management" tab, go to "Settings" and click "Translations".
2. Scroll to the bottom of the page and click the "Add translation" button.
3. Enter the name of the variable in the left text box and the corresponding translation in the right text box.
4. Click "Save" to save the variable.
Example: Variable: "greetings". Translation: "Dear customer, greetings from our team."
You can now use this variable in your invoice template to insert the text automatically.
Example: reformatting and positioning variables
In this example, we show you how to reformat and reposition the "location" and "date" variables on the invoice:
1. Find the variables "{location}" and "{date}".
2. Position these variables where you want them on the template.
3. Set the font size, font, color and other formatting as you like.
4. Save the template by clicking "Save".
When you now create an invoice with this template, the date and location are shown with your formatting.
Editing the invoice entry template
An invoice entry template is a standardized template for individual items on an invoice. It contains placeholders such as {%DATE} or {%NAME} that are replaced automatically with the matching values, so the content doesn't have to be entered again each time.
By default, the invoice entry template in TimeStatement looks like this: {%DATE} - {%NAME} {%NOTES?({%NOTES})}{%USER}. You can adjust it on the "Management" tab under "Settings" and "Features", in the "Invoice Entry Template" field of the "Invoices" section.
Example: You want to include the start and end time in the invoice items. The invoice entry template could then look like this: {%DATE}: {%NAME} {%NOTES?({%NOTES})} - ({%START} - {%END})
