The invoice number sequence, also called the invoice number space, is the systematic structure or logic used to assign invoice numbers in a company. It keeps invoices unique and organized, which makes accounting easier. In TimeStatement, this number space can be adapted individually to your company structure and is continued automatically.
Invoice number sequence with several companies
If you create invoices for several companies in your TimeStatement account, you should enable a separate invoice number space for each company. This keeps the invoice numbers of the individual companies separate. If only one company is set up, this setting doesn't matter, since no overlaps can occur.
1. On the "Management" tab, go to "Companies" and add a new company by clicking "New Company", or select an existing company.
2. Scroll down in the company's details and settings and enable the "Own invoice number space" feature.
3. Click "Save".
TimeStatement now ensures that the invoice numbers of the different companies stay separate.
Automatic assignment of invoice numbers
When creating the first invoice, you can set the invoice number manually, for example "INV-2025-001" or "R-1001". TimeStatement saves this number and automatically assigns the next logical invoice number to the next invoice, e.g., "INV-2025-002" or "R-1002".
Entering invoice numbers manually
You can overwrite the invoice number manually at any time. Ideally, however, the invoice number sequence is defined from the start to ensure a consistent structure. Once it's defined, it shouldn't be changed manually anymore, because TimeStatement automates the assignment of invoice numbers, which minimizes errors.
