Once you have added your employees to TimeStatement and created clients and projects, you can assign employees to a project. To do this:
1. Go to the "Projects" tab and select the project.
2. In the project, click the "Members" tab and then "Add Member".
3. Select the employee in the "Employee" field.
4. If you selected the billing type "Employee hourly rate" on the project's "Details" tab, you can set an individual hourly rate for each employee here.
5. Several options are also available to customize the employees' access rights individually:
- Project Leader: If an employee is set as project leader, they can see all recorded activities, manage the project and access information and employee reports.
- Can see entries of other users: Enable this option if an employee should see other users' entries but not make any changes.
- See hourly rates: This option allows the employee to see the hourly rates of all project members.
6. After making all settings, click "Save" to apply the changes.
Tip: With TimeStatement, you can create a sample project with your standard settings – such as project details, employees, tasks, expense categories as well as flat rates and retainers. You can reuse this template for future projects: clone existing projects in just a few clicks and all predefined settings are applied automatically.
Multi edit: Multi-Project Add/Edit
With the multi edit feature, you can add several employees to different existing projects at once or adjust their settings. This is especially handy if you want to bring new team members into existing projects or update hourly rates in several projects. Here's how:
1. On the "Projects" tab, select the project.
2. Switch to the "Members" tab and click "Multi-Project Add/Edit".
3. Select the action you want:
- Add users to projects
- Update project members
- Remove or disable users from projects
4. Optionally, enter the employee's "Hourly rate".
5. Enable or disable the following options:
- Project Leader: Check this option to set the employee as project leader in the project. Project leaders can see all activities recorded by the project members and manage the project.
- Can see entries of other users.
- See hourly rates: Enable this option to let the member see the hourly rates of all project members.
6. Select the users to add to projects. You can either select individual users manually or use the "Select all users" or "Select all users with no projects" options.
7. Select the projects you want to add the users to. You can select the projects from the list or filter by "Search term" and "Last Activity after".
8. Finally, click "Add users to projects".
Viewing project members
To get an overview of the members already assigned to a project:
1. Open the project under "Projects".
2. Go to the "Members" tab. At the very bottom, you'll find an overview of all added employees.
3. Use the search field to filter for specific members.
4. Enable "Show details" to show additional information such as email address, project leader status, view rights and hourly rates.
5. If you need a list of the members, you can download it as a spreadsheet via "CSV Export" or "Excel Export".
